AI trust and your data
When a business lets AI near its calls, emails and client records, the first question is where that information goes. This page answers it with specifics: every service we use, where it runs, and the settings we have switched on so your data is not used to train anyone's AI.
It covers NameCRM, the client system we run our own agency on, and the AI we build for clients. Your client records are stored in Canada. Some processing happens in the United States, and we say exactly which.
Our rules
No provider trains on your data
Each AI service we use is set so it does not learn from what we send it: Anthropic's business terms do not train on our inputs, our speech recognition requests opt out of Deepgram's training program, and model training is switched off in our ElevenLabs account.
Our AI says it is AI
Our phone assistant opens every call by saying it is an AI assistant and that the call is recorded. Asked whether it is a real person, it says plainly that it is not and offers a call back from a person.
A person sends what a client reads
AI drafts emails, texts, proposals and replies. A person reviews and sends them. The only messages that go out on their own are factual ones: booking confirmations, payment receipts and the short recap text after a call.
Recordings leave the phone company
Call recordings and text messages are copied into our own storage in Canada and then deleted from our phone provider, Twilio. As of September 26, 2026, all 302 call recordings had been removed from Twilio this way.
Your records stay in Canada
Client records, files and call recordings are stored in our database in Canada. An AI service only ever sees the piece of information it is working on, such as one transcript or one draft.
No likeness without consent
We never generate or animate an image, video or voice of a real person without that person's written consent.

These are the services that touch client information in NameCRM and in the AI we build. Where a service is an AI model, the last line says whether it can learn from your data.

What leaves Canada
Your client records, files and call recordings are stored in our database in Canada. When AI works on a piece of information, such as a call transcript or a draft reply, that piece is processed by the provider in the United States and handled under the settings above. Our server code also runs in the United States, so information passes through it on the way to the database.
Information processed in the United States can be subject to the laws of that country. Our privacy policy lists every provider and what it does.
Your choices
You can ask what information we hold about you, ask us to correct it, or ask us to delete it. Email info@nametech.ca with "Privacy" in the subject line, or call +1 604-900-2060.
If you would rather not speak with our AI assistant, say so on the call. It will take your name and reason if you want to give them, and a person will call you back.
When we build AI for you
- We use business accounts and API access, never consumer apps, for anything that touches your data
- We switch off model training with every AI service we connect, on the day we connect it
- We write down, in plain words, which services process your data and where
- We set the AI to say it is AI wherever it talks to your customers
What our AI cannot promise
- It can mishear or make mistakes, so a person confirms anything that matters in writing
- Nothing it says is a quote, a contract or professional advice until a person confirms it in writing
- It is not an emergency line: in an emergency, call 911
- You can always ask to deal with a person instead
