A consultant or coach sells expertise before the first meeting. The website has to explain the work in plain words and make the first call easy to book, and behind it the proposal, the signed letter, the invoice and the files have to stay in one place as the client relationship grows.

We built the website half for HR Next Door, a fractional HR consultancy in Port Moody, with twelve service pages and a free HR Audit Toolkit; for Alaq Consulting Tech Solution, a cybersecurity and governance consultancy in Columbus, Ohio, with six service pages and a Book a 15-min call link on every page; and for Magnus Coaching in Langley, built around booking a free 30-minute discovery session. The back-office half runs in NameCRM, the system our own agency works in every day: quotes with options, signed engagement letters, Stripe invoices, a QuickBooks Online record and a private client portal.

What a consultant needs, and where we have built it

The jobs a consultant's website and client system have to do. Each one names the build where it runs today and the page with the detail.

  1. A site that explains the work and books the first call

    Magnus Coaching's home page has one button, Book Your Free Discovery Session, and a booked session sends its Zoom link automatically. HR Next Door puts Book a Free Consultation in the header of every page, and its contact page says the first call runs 30 minutes.

  2. A page for every service, on one pattern

    HR Next Door has twelve service pages on one pattern: what is included, why it matters in British Columbia, then the free consultation. Alaq Consulting's six service pages each end with the questions a buyer asks, beside a sidebar that lists all six services.

  3. Proposals with options and letters signed online

    In NameCRM, the system we run our own agency on, a quote offers up to four options, each priced with tax and deposit, and the client accepts online by typing their name. Engagement letters come from per-service templates, and clients sign on a private page with time and IP recorded.

  4. Invoices, card payments and the books in step

    NameCRM invoice emails carry a Pay button and the PDF, Stripe takes the card, and e-Transfer, cash or cheque is recorded against the same invoice. Customers, invoices, payments and fees mirror to QuickBooks Online with the same numbers, and a recurring plan can charge the card on file.

  5. A private portal for files, meetings and what is owed

    Every NameCRM client gets a private, branded portal with their estimate, billing, files and messages. Files move both ways, upcoming meetings show a Join button, and the client signs the engagement letter and reads, chooses and accepts quotes without leaving it.

  6. Meetings booked from real free time, synced with Google

    NameCRM's booking page offers clients your real free time in their own time zone, honours minimum notice and a daily cap, and sends a Google invite with Meet included. Changes made in Google arrive within seconds, and a pre-call questionnaire lands as a pinned note before the call.

  7. Follow-up that does not fall through

    NameCRM lists every message unanswered for more than 24 hours, meeting promises from the last 30 days and deals untouched for 10 days. AI drafts each reply in the owner's voice from the client's record, may not invent a meeting, price or date, and can wait in a review queue.

What should a consultant's or coach's website have?

One clear first step and a page for each service. Magnus Coaching's home page has a single button, Book Your Free Discovery Session. HR Next Door gives each service its own page on one pattern, and its FAQ answers what owners ask before they call, from cost and contracts to where she works.

Can clients book a discovery call online and get the video link automatically?

Yes. Magnus Coaching's booking page lists its session types, each with its own calendar, and the Zoom link arrives automatically once a time is chosen. Alaq Consulting keeps a Book a 15-min call link in the top bar of every page. In NameCRM, the person who books gets a Google invite with Meet included.

Can my proposals and engagement letters be signed online?

Yes. In NameCRM a quote can offer up to four options, and the client accepts online by typing their name, with the time and IP recorded. Engagement letters are signed on a private page by drawing or typing a name, double signing is blocked, and both sides get the signed PDF with the next step.

How much does a website or client system for a consultant cost?

It follows the scope: how many service pages the site needs, and whether booking, a free resource, consultation forms, a client portal, e-signature or Stripe and QuickBooks billing are part of it. We publish no flat price. After the free 30-minute assessment you get a written estimate, with GST added on top.

Can client invoices go through Stripe and land in QuickBooks Online?

Yes, in NameCRM. Invoice emails carry a Pay button with the PDF attached, Stripe takes the card, and customers, invoices, payments, refunds and fees mirror to QuickBooks Online with the same numbers. A receipt goes to the client automatically once the money settles, and recurring plans can charge the card on file.
