NameCRM, the Canadian CRM with an AI receptionist built in

Calls, email, texts, meetings, quotes, contracts, invoices and a client portal, on one record per client. AI answers the phone, drafts in your voice and keeps the paperwork moving. Made in Surrey, BC, with client records stored in Canada. You stay in charge: nothing persuasive reaches a client until a person presses Send.

NameCRM in short

  • NameCRM is a CRM for small service businesses with an AI receptionist built in: it answers the calls you miss, books meetings into your calendar and files every call on the client's record.
  • It is made by Nametech Canada in Surrey, BC, and runs our own agency every day.
  • Client records are stored in a database in Canada. The app's servers and the AI services run in the United States, and our AI trust page names each one.
  • It is built for British Columbia first: GST added on top, BC statutory holidays, Pacific time, and Canada's anti-spam consent checked before a message goes out.
  • It is not on sale yet. Request access and we will set up a walkthrough.
  • The AI receptionist comes only with NameCRM, because it needs the calendar, the client records and the tasks to do its job.

Built for our own agency first

We built NameCRM because our days ran across six tools and things leaked between them: the missed call, the promise nobody wrote down, the fee that was agreed and never billed. So we wrote one system and moved our own agency onto it in August 2026.

It has shipped more than 500 releases since then, and we use every one the next morning. We are now opening it to other service businesses. Request access and we will set up a walkthrough.

Included with NameCRM

An AI receptionist that answers when you cannot

The receptionist is part of NameCRM, not a separate product. It picks up when nobody else does, speaks in a voice you approve, knows your business and books straight into your real calendar while the caller is still on the line. Every call opens with the truth: it is your AI assistant, and the call is recorded.

  • Answers every call you miss, day or night, and greets returning callers by name
  • Learns your business from your own website into a brief you can edit
  • Books, moves and cancels meetings in your calendar during the call
  • Texts the caller a recap when a meeting is booked or a callback is owed
  • Turns every request and promise into a task on the client's record
  • Lets you listen live and take the call over from your phone
  • Makes the calls you set, one at a time or a round of several, and reports back with a summary
  • Rings you in when a caller asks for you, and never pays or agrees to anything on your behalf
  • Transcribes voicemail and summarises it with the actions to take
  • Understands French, Hindi, Urdu and Punjabi callers and replies in French or Hindi

What it does

Everything in NameCRM

Every conversation in one place

Email, texts and calls stop living in separate apps away from the client.

  • Your Microsoft 365 mailbox inside the CRM, with every message filed to the right client automatically
  • Two-way texting with picture messages, threaded per client, to Canadian mobile numbers today
  • A business phone in the browser and the app: every device rings, calls are recorded, transcribed and summarised
  • Templates with merge fields, send later, and a short undo window on every send
  • Canadian anti-spam consent checked at send time, with one-click unsubscribe

Clients, deals and follow-up

Nothing a client said or asked for slips through.

  • One page per client with every email, text, call, meeting, file, quote and payment on a single timeline
  • Pipelines and deals, tasks and a My Day list, with tasks created from calls and meetings
  • A radar for loose ends: unanswered messages, meeting promises and deals nobody has touched
  • Stay-in-touch reminders, important dates, lead scores and churn risk with the reasons shown
  • Business cards and email signatures read into contacts, and duplicates merged with an exact undo

Calendar, meetings and booking

Meetings get booked, remembered and followed up without typing.

  • Two-way Google Calendar sync that updates within seconds
  • A public booking page that offers only your real free time
  • Meeting recording from your phone with live captions, a transcript and a written summary
  • A one-click brief before every meeting: who they are, what is open, what to raise
  • Suggested meeting places near you, near the client or halfway

Quotes, contracts and getting paid

The agreed price flows to the letter, the invoice and the books without retyping.

  • Quotes with up to four options that the client chooses and accepts online
  • Engagement letters with e-signature, the signed copy filed to the client automatically
  • Invoices through Stripe, plus e-Transfer, cash and cheque, credit notes and refunds
  • Recurring plans and card on file, where Stripe holds the card and NameCRM never sees the number
  • A QuickBooks Online mirror so your accountant works from the same numbers

A portal your clients actually use

Clients stop emailing to ask where their project is.

  • A private, branded page for every client with their deliverables, estimate and billing
  • A progress track worked out from what really happened, never typed by hand
  • A short list of what you need from them, each item one tap
  • Their upcoming meetings with a join button, and time they can book themselves
  • Previews that can expire on their own, with a watermark

Files, phone and peace of mind

The system works where you work and never loses anything.

  • A file drive per client, with sensitive folders that can never be shared by link
  • An installable app for phone and desktop that keeps working offline
  • Live updates on every device without a reload
  • A 30-day trash, exact undo and nightly backups
  • A full export of your data at any time

Modules

The modules inside NameCRM

Every customer gets the foundation: contacts and companies, the client page and its timeline, tasks, notes, search, team roles and two-step sign-in. The modules below build on it. An owner can already switch some of them off in Settings, and the rest are being prepared to switch the same way.

  • AI receptionistAnswers when nobody picks up, says it is an AI and that the call is recorded, books into your calendar during the call and texts the caller a recap. It comes with the texting and phone and calendar modules.
  • Texting and business phoneTwo-way texts and picture messages per client, a business phone in the browser on every signed-in device, and calls recorded, transcribed and summarised on the timeline.
  • Inbox and emailYour Microsoft 365 mailbox inside the CRM, with templates, send later, consent and one-click unsubscribe, and AI drafts in your voice. Gmail is not supported yet.
  • Calendar and bookingTwo-way Google Calendar sync, a public booking page, in-person or online meetings, and reminders, with the confirmation sent by you rather than by Google.
  • Meeting intelligenceRecord a meeting from your phone with live captions, then get a summary with the promises and tasks pulled out for you to accept.
  • Client portalA private portal for every client: progress, what you need from them, meetings and shared recaps, and files both ways. Clients sign in with a link sent to the email on file.
  • Client messagesA private thread with each client inside their portal, opened with a code emailed to the address on file. No email ever carries the words.
  • Quotes, invoices and paymentsQuotes with up to four options and add-ons, invoices with credit notes and refunds, recurring plans, cards held by Stripe, and receipts that send themselves.
  • Books and QuickBooksProfit and loss, a bookkeeping rule book and a QuickBooks Online mirror, with totals checked across Stripe, NameCRM and QuickBooks.
  • Engagement letters and e-signatureLetters from your own templates, signed on a private page or inside the portal, with the signed copy filed and emailed.
  • FilesA file drive per client and one for the company, with sensitive folders that can never be shared by link.
  • Sequences and remindersFollow-up sequences that stop when the client really replies, stay-in-touch reminders and important dates.
  • Pipeline and dealsSeveral pipelines, deals with a value and a stage, and drag and drop between stages.
  • InsightsA morning briefing, reports, lead scores and churn risk with the reasons shown, and a radar for loose ends.
  • Lead captureBusiness cards and email signatures read into contacts, website enquiries filed to the right client, and event sign-up pages.

The AI inside

AI that drafts, reads and remembers, and never sends on its own

NameCRM uses Claude from Anthropic, speech recognition from Deepgram and a voice from ElevenLabs. The AI does the first draft and the paperwork. A person approves what is written in your name, and the phone assistant says it is an AI on every call.

Drafts, never sends

AI writes the draft. A person presses Send. The only messages that go out on their own are factual ones: booking confirmations, payment receipts and the receptionist's recap to the caller it just spoke with.

Grounded, never invented

Summaries use only what they were given, meeting suggestions that cannot quote the conversation are dropped, and numbers in a contract are locked against change.

Reads like you wrote it

Replies learn your voice from your own sent mail, and every AI text passes a cleanup that removes the phrasing that makes writing sound machine made.

Replies in your voice

Drafts an email or text as you, grounded in the client's whole history.

Polish and subject lines

Cleans up what you wrote without changing a fact, and suggests three subject lines.

Thread and attachment reading

Three-line summaries of long threads, and a short note on every PDF or image a client sends.

Reply intent

Tags incoming messages as interested, needs info, objection or upset, so you see who is warm.

Daily briefing and weekly review

A ranked list of what needs you today, and a short weekly read on the business.

Meeting summaries

Wants, promises, tasks and money pulled from the recording for you to accept or decline.

Contract drafting

Engagement letters tailored from your intake notes, with every number locked.

Website assessments

A prospect's site audited with measured scores and a written report in minutes.

Privacy and control, built in

  • Access control lives in the database itself, and your team joins by invitation only
  • Card numbers never touch NameCRM: Stripe holds them
  • Recordings, documents and backups sit in private storage behind short-lived links
  • Your database is hosted in Canada. The AI and phone services we connect process some data outside Canada, and we tell you which
  • Changes that touch access, money or client data are worked against a written security checklist, and every release passes over 230 automated test suites first

NameCRM questions

Questions we hear

When can I subscribe to NameCRM?

We are opening NameCRM to other service businesses now. Request access and we will set up a walkthrough of the system on your own work. Pricing is set with you after the walkthrough; call 604-900-2060 for pricing.

Is there a CRM with an AI receptionist made in Canada?

Yes, NameCRM: a CRM with an AI receptionist built in, made by Nametech Canada in Surrey, BC, with client records stored in Canada. It runs our own agency every day. It is not on sale yet: request access and we will set up a walkthrough.

What does NameCRM include?

A foundation every customer gets (contacts, the client page and timeline, tasks, team roles and two-step sign-in) and modules on top: the AI receptionist, texting and a business phone, the Microsoft 365 inbox, calendar and booking, the client portal, quotes, invoices and payments, QuickBooks, e-signature, files and more.

How is NameCRM different from HoneyBook or HubSpot?

NameCRM is built around the phone: the AI receptionist, calling and texting are part of it and work for businesses in Canada. When we checked on October 4, 2026, HoneyBook offered its phone and texting only to members in the United States, and HubSpot's AI phone agent was in beta on its Professional and Enterprise editions. Both are on sale today and connect to many more apps. Our comparison pages give the details and the sources.

Who is NameCRM for?

Small service businesses whose day is calls, emails, meetings, quotes and contracts: consultants, agencies, trades, coaches and studios.

Can I buy the AI receptionist on its own?

No. The AI receptionist is part of NameCRM, because it books into your calendar, files every call to the client's record and turns requests into tasks. It needs the rest of the system to do that.

Does the AI receptionist pretend to be me?

No. It can speak in your own voice if you approve a voice clone, but every call opens by saying it is your AI assistant and that the call is recorded. If a caller asks whether they are talking to a real person, it says plainly that it is an AI assistant and offers a call back from you.

Does the AI send messages to my clients by itself?

No. The AI drafts and a person sends. The only automatic messages are factual: booking confirmations, payment receipts and the receptionist's recap text to the caller it just spoke with.

Which email accounts does it work with?

Microsoft 365 mailboxes today. Gmail is not supported yet.

Where is my data kept?

Your database is hosted in Canada. Some connected services, such as the AI, phone and payment providers, process data outside Canada. You can export everything at any time.

Does it work outside British Columbia?

It is built for British Columbia today, with GST handled on top, BC statutory holidays and Pacific time. Other regions come later.

Can I bring my existing contacts?

Yes. A CSV import maps your columns, previews duplicates and never deletes anything.
