NameCRM vs Zoho CRM

Zoho CRM is a configurable CRM used by over 300,000 businesses, hosted in Canada for Canadian accounts, and part of a family of Zoho products for accounting, signing, booking and phones. NameCRM is the CRM we built for our own agency and are preparing for other service businesses. It is not on sale yet.

We know both from the inside: when we built NameCRM, our own leads came in from a Zoho CRM export, and each record kept its Zoho id. The difference that matters most is how the pieces arrive. Zoho offers them as editions and separate products you connect; NameCRM ships them as one system.

Who each one is for

Zoho CRM is the better choice when

  • You want client data hosted in Canada and a system you can start today.
  • You want one vendor for the whole office: accounting, signing, booking, help desk and more come from the same company.
  • Your team works in French, or you need a specific integration among more than 1,000.
  • You have a sales team and want automation and AI agents you configure yourself.

NameCRM is the better fit when

  • Missed calls cost you work, and you want an AI receptionist that answers, books into your calendar and files the call.
  • You want the portal, signing, booking and payments in one system, not as separate products to connect.
  • You take cards through Stripe and want an agreed price to flow from the quote to the letter, the invoice and QuickBooks.
  • You want a walkthrough from the team that builds it, at your place, somewhere near you or online.

Where Zoho CRM is ahead today

Breadth and choice. Zoho runs data centres in Toronto and Montreal, offers 28 interface languages including French, counts over 1,000 integrations and sells a suite of more than 45 apps. A business that wants one vendor for its whole office can get it there today.

Its AI is broad too: Zia agents for sales follow-up, quotes and deal analysis, and a studio for building your own. Many of those features sit on the higher editions, so the edition you choose decides what you get.

Where NameCRM is different

NameCRM ships the daily work of a service business as one system: the phone, the calendar, quotes, letters, invoices, QuickBooks and a client portal pass the same numbers to each other. There is nothing to assemble from separate products.

The phone is the centre. The AI receptionist has answered our own line since September 5, 2026, says it is an AI on every call, books into the real calendar while the caller waits and texts a recap. Zoho's own phone system was not yet live in its Canadian data centre when we checked.

Questions

What people ask before they choose

Does Zoho CRM store data in Canada?

Yes. When we read Zoho's data centre page on October 4, 2026, it listed a primary data centre in Toronto and a secondary one in Montreal, chosen by the country picked at sign-up. Not every Zoho product was live there: Zoho Voice was still being set up in Canada.

Does Zoho CRM have an AI receptionist?

We found no Zoho-built agent that answers inbound calls on Zoho's pages on October 4, 2026. Zoho Voice can route calls to outside voice AI providers, and a partner sells an AI call answering extension. NameCRM's receptionist answers and books calls itself.

Is Zoho CRM right for a small business?

Zoho's own Zoho CRM page points small businesses, freelancers and entrepreneurs to Bigin, a simpler product. Zoho CRM itself is sold in editions from Starter to Ultimate, and features such as portals and most of its AI sit on the higher editions.

Do you set up or customize Zoho CRM?

No. We are not a Zoho partner and do not resell or configure Zoho CRM. We build custom CRMs and make NameCRM. Our own leads came out of a Zoho CRM export when we built NameCRM, so we can help move your records out of Zoho.

How does e-signature work in each one?

In Zoho CRM, documents are signed through Zoho Sign, a separate Zoho product added from the marketplace. In NameCRM, engagement letters are signed on a private page or inside the client's portal, and the signed copy is filed and emailed automatically.
