AI receptionist vs an answering service vs voicemail

When you cannot pick up, a call goes to one of three places: voicemail, a live answering service, or an AI receptionist. Each does a different job. Voicemail keeps a message. A person at an answering service follows your script, takes messages, transfers calls and books through your booking tool. An AI receptionist answers in seconds, books into your calendar while the caller waits and files the whole call on the client's record.

We run an AI receptionist on our own line, inside NameCRM, and it answers every call we miss. The facts about answering services and voicemail below come from the own pages of Ruby, AnswerPlus, TELUS and Google.

What happens to the call

Our column is the receptionist that answers our own line. The answering service column draws on Ruby and AnswerPlus, two services that say they serve Canada; the voicemail column on TELUS Business and Google Voice. All were read on the date shown.

Which one fits your calls

A live answering service is the better choice when

  • Callers expect a person, or calls are sensitive, emotional or complicated.
  • You need someone to dispatch field jobs or screen solicitors on your instructions.
  • You want callers answered in French by a person: AnswerPlus offers English and French.
  • You need it today.

An AI receptionist is the better fit when

  • Most calls are routine: booking a meeting, moving one, or asking where a project stands.
  • You want every call recorded, summarised and filed on the client's record, with tasks made from what was promised.
  • You want to listen live or take a call over from your phone.
  • You run your business in NameCRM, or plan to once it opens.

What our AI receptionist does on a call

The line rings you first. When nobody picks up within about 20 seconds, the receptionist answers, says it is your AI assistant and that the call is recorded, and reads the caller's record before it speaks. A booking happens while the caller waits: the time is checked in code against your open hours, and a taken slot gets the next open one.

Before any change reaches the line, an AI caller phones it with scripted situations and a judge scores each call. It had taken 257 practice calls across 46 situations when we counted on September 26, 2026, and the failures became 101 written rules.

What a person still does better

A person can calm an upset caller, judge a situation no script covers, and handle a caller who simply wants a human. That is why our receptionist says plainly that it is an AI when asked and offers a call back from you, and why some businesses are better served by a live answering service.

It is not an emergency line. When a caller's words sound like an emergency, a rule in code gives them the 911 line first, before the AI says anything else.

How to get the AI receptionist

The AI receptionist is part of NameCRM and is not sold on its own, because it books into the calendar, reads the caller's record and turns promises into tasks. Request access on the NameCRM page and we will set up a walkthrough.

Questions

What people ask before they choose

Is an AI receptionist better than an answering service?

For routine calls that should end in a booking, an AI receptionist answers at once, books into your calendar and files the call. For sensitive or complicated calls, or callers who want a person, a live answering service is the better choice. When few calls come in and none are urgent, voicemail may be all you need.

Will callers know they are talking to an AI?

With ours, yes. Every call opens by saying it is your AI assistant and that the call is recorded, and it says so again whenever a caller asks, then offers a call back from you. An early version of its rules told it to deny being an AI if asked; we removed that.

Can an answering service book appointments?

The services we read can. Ruby books through your online calendar after checking that it fits its guidelines, and AnswerPlus books through your website or online software. Our AI receptionist books straight into your Google Calendar during the call, with a Meet link or a meeting place.

What languages can each one handle?

Our receptionist understands French, Hindi, Urdu and Punjabi callers as well as English, and replies aloud in French or Hindi. AnswerPlus answers in English and French with people, and TELUS voicemail transcripts support English and French among other languages.

Can I buy the AI receptionist without NameCRM?

No. It is part of NameCRM because it books into the calendar, reads the caller's record before it speaks, files every call and turns each promise into a task. Without those it could only take messages. Request access on the NameCRM page and we will set up a walkthrough.
