Vapi alternative: a finished AI receptionist for people who do not write code
Vapi does not sell a finished AI receptionist. Its home page calls it a platform for building voice agents, and it speaks to teams that write software and to very large companies. If that is you, close this tab and go and build something. Its demo did well on our test.
Maybe you own a business and searched for Vapi because you want the phone answered. Then you are shopping for a different thing: a receptionist somebody has already built. Ours is one. It lives inside NameCRM, it comes by request, and there is nothing for you to build.

Timed by phone
Vapi's demo number and ours, two calls each
Vapi's typical wait was 1.8 and 2.3 seconds, and its slowest answer took 3.5 seconds. It never talked over the caller and never left a wait over five seconds. Of the nine, only Vapi, Smith.ai and ours did both things right on both calls.
On October 11, 2026 we phoned each demo number twice. The caller was an AI of ours playing a new customer, and it was not told whose number it had dialled. The wait is the time from the caller's last sound to the receptionist's first sound. The typical wait is the middle value on a call. Talking over the caller means it started speaking while the caller was mid-sentence and the caller kept going.

What this test cannot tell you
These are demonstration lines. A company's demo line is not the same as a receptionist set up for a paying customer, and each demo plays a different kind of business.
Two calls is a small sample. The two typical waits beside each name show how much one line can move between calls. Treat the table as a snapshot of one afternoon, not a ranking for all time.
Speed is not the job. This measures waiting and interrupting. It says nothing about whether the answers were right, whether a booking was made or what the business received afterwards. We test those separately on our own line and we did not grade anyone else on them.
The caller was an AI. It let us ask every line the same kind of questions in the same manner. A person would have been less consistent and might have been more patient.
Our caller was not always polite either. It cut in before the line had finished speaking on four of the eighteen calls. It did so five times on one RingCentral call and three times on one My AI Front Desk call. It did so once on a Jobber call and once on an Upfirst call. On the My AI Front Desk call and the Jobber call, that is the same call where the line talked over the caller. So part of that count may be the line finishing its own sentence. We have since changed the caller to wait until the line's voice has stopped, and the next run will count again.

What you need
AI receptionist in NameCRM
Vapi
What it is
It is the receptionist inside NameCRM. It books into the calendar, reads the caller's record and turns promises into tasks.
A platform for building voice agents. You set up the voice, the conversation, the phone connection and the links to other software.[1] source 1
Who it is built for
Small service businesses in British Columbia whose day is calls, email, meetings, quotes and contracts.
Teams that build their own agents, up to very large companies. Its home page says it is SOC 2, HIPAA and PCI compliant.[1] source 1
How you get it
In progress
Only with NameCRM, which is not on sale yet. It runs our own agency in Surrey, BC, and businesses can request access for a walkthrough.
Yes

It can hold up to five calls at once.
Yes
Its home page speaks of scaling to millions of calls.[1] source 1

Which one fits your business
Vapi is the better choice when
You write software, or have people who do, and want a voice agent of your own design.
You are a large company. Its home page speaks of millions of calls and offers an engineer to get you live.
You need the security paperwork it lists: SOC 2, HIPAA and PCI.
The phone is one of several jobs you want an agent for, such as support or lead qualifying.
Ours is the better fit when
You want the phone answered and have no wish to build software to get there.
You want what happens after the call already done: the meeting in your calendar, the summary and tasks on the client's record.
You want every caller told it is an AI and that the call is recorded, without having to remember to write that in.
You want to listen live or take a call over from your phone.
A lumber yard and a shed
Comparing Vapi with ours is a little like comparing a lumber yard with a shed. The lumber yard is bigger, can become anything and is the right place for a builder. Most people who need somewhere to keep the lawnmower want the shed.
What we timed was the demo agent Vapi publishes on its home page. An agent built on Vapi is set up by whoever builds it, so treat these numbers as its demo and nothing more. Ours is one receptionist, set up one way. The one we timed runs the same settings as our business line.
What the two calls to Vapi showed
Vapi did well. Its typical wait was 1.8 and 2.3 seconds. It did not talk over the caller on either call and left no wait over five seconds. Its slowest answer took 3.5 seconds, and ours took 2.4.
A phone network sits in the middle of every one of these numbers, ours included. Nobody in the test answered in under a second.
How to get the AI receptionist
The AI receptionist is part of NameCRM and is not sold on its own, because it books into the calendar, reads the caller's record and turns promises into tasks. Request access on the NameCRM page and we will set up a walkthrough.
Book the free 30-minute assessment. Seemab Akbar looks at how your business runs today and tells you plainly what to buy, what to build and what to leave alone. We come to you, meet somewhere near you, or talk online.
Is there a Vapi alternative that does not need a developer?
Yes: any finished AI receptionist, ours among them. Vapi is a platform for building voice agents, so someone has to build yours. Ours is already built. It answers, books into your calendar and files the call in NameCRM. It comes by request, with a walkthrough.
How fast is Vapi on a real phone call?
We called the demo number on its home page twice on October 11, 2026. Its typical wait was 1.8 and 2.3 seconds, measured from the caller's side of the call. Its slowest answer took 3.5 seconds. An agent you build on Vapi may behave differently from its demo.
Is Vapi an AI receptionist?
Not by itself. Its home page describes a platform for building voice agents, and shows appointment scheduling, lead qualifying and customer support as things people build on it. A receptionist is one thing you could make with it.
Which is better for a small business, Vapi or a ready-made AI receptionist?
If nobody on your team writes software, a ready-made one. Vapi suits teams that want to design their own agent. A small business usually wants the calls answered and the meetings booked without starting a software project.
Can I buy your AI receptionist without NameCRM?
No. It is part of NameCRM because it books into the calendar, reads the caller's record before it speaks and files every call there. Request access on the NameCRM page and we will set up a walkthrough.
